HubSpot allows for the creation of various roles—depending on what your team needs to be able to do. Maricopa Community Colleges uses three main permission sets for District and college teams:
CRM User
Contacts—View and Edit
Save important info about your customers as a contact, so your team can connect with them.
Companies—View and Edit
Save useful info about companies in your database, so your team stays organized.
Deals—View and Edit
Store, track, and manage the deals your team is working on. Manage access to deal pipelines in Settings > Deals.
Tickets—View and Edit
Log customer issues as tickets to assign to team members and organize them in one place.
Tasks—View and Edit
Store, track, and manage the tasks your team is working on.
CRM Emails—View
Manage access for one-to-one emails on CRM record pages and in reporting tools.
Meetings—On
View meetings on CRM record pages and in reporting tools.
Calls—On
View calls on CRM record pages and in reporting tools.
Notes—View, Edit, and Delete
Manage access for notes, attachments created as notes, and attachments created using the attachment component in the CRM on records in your account.
Invoices—Off
Store, track, and manage invoices you send to customers.
Communicate—Unassigned
Send emails, log calls, schedule meetings, enroll contacts in sequences, use the mobile app to interact with records, and edit and associate activities with CRM records.
Bulk Delete—Off
Import—Off
Import CRM records into your account in bulk or one at a time.
OFF
Export—On
Download reports and CRM records from your account.
Custom Views—Off
Create custom views in the shared inbox based on ticket and conversation properties.
Customize Record Page Layout—Off
Let users edit the record page layout and content within object settings.
Lists—View
Create static or dynamic lists that are viewed by specific teams only. As well as segmenting records that are owned by those team members.
Forms—Off
Create visitor-facing forms to generate leads and capture data. Forms can be shared as standalone pages or embedded into CTAs or webpages.
Delete Form Submissions—Off
Delete submissions on individual forms. This permission needs access to edit forms.
Files—View
Manage files in the Files tool for your HubSpot content. Users can add files to content without access to the Files tool.
Marketing Access
Add Marketing to the user's main menu. Give them access to tools like email, ads, social, SMS, and forms. Along with website tools and the ability to approve content.O

Manage access to the tools your team uses to build marketing campaigns.
Ads—View
View or create campaigns, audiences, and events for connected ad accounts.
Campaigns—View
Manage your campaigns and see the associated assets you have access to in one place.
Marketing Rmail—View
View, create, edit, and send marketing and transactional emails. Test and view them on multiple devices.
CTA—View
Use the editor to build and create popover and embedded CTAs that capture visitors’ attention on your website.
SMS—View
Social—Connected Accounts
Use social media tools to create and schedule posts, analyze performance, and monitor activity like mentions, keywords, and competitors.
Website Tools
Manage access to your website's design and content tools.
Blog—View
Drive traffic and awareness by creating SEO-friendly blogs for your business. Turn on Account > Settings access > Website settings to create blogs.
Podcasts—Off
Differentiate your company's brand by creating and distributing engaging audio content for your customers.
Case Studies—Off
Create and manage captivating case studies for your website to serve as social proof to visitors.
Landing Pages—View
Use a drag-and-drop editor to create responsive landing pages.
Website Pages—View
Create responsive website pages with built-in assets and editors, or work with developers to create custom pages.
Content Remix—View and Edit
Repurpose your content into new channels and formats using generative AI.ON
HubDB—View
Create tables with a flexible schema to store data you can use on your website pages. Turn on Account > Settings access > HubDB table settings to create, clone, and delete tables.
URL Redirects—View
Redirect traffic from any URL on a HubSpot-hosted domain to any other URL.
Design Tools—Off
Build custom templates and styles for your website.
Content staging—Off
Build out and test a brand new website in a separate content staging area.
Approvals
Customize permissions to approve content publishing. Approvals must be turned on for each tool.Learn more.

Let users approve requests to publish marketing emails.
Approve Blog Posts—Off
Let users approve requests to publish blog posts.

Let users approve requests to publish landing pages.

Workflows—View
Give users access to view Workflows. Give users edit access to set enrollment criteria to automatically enroll records. As well as take action on contacts, companies, deals, quotes, tickets, and more.
Chatflows—Off
Create live chat and bot chatflows for your website.
Goals—View
Let users view, create, and edit their goals.
Data quality tools access—Off
View the health of your data and fix issues before they happen.
Reports Access
Give access to reporting tools. This includes dashboards, reports, and analytics tools. If turned off, users won't see Reports in the main menu.ON
Dashboard, Reports, and Analytics—View, Edit, and Create/Own
Give access to advanced dashboard features (i.e. - data records, share, and creation of dashboards, plus more).
Reporting Datasets—Off
Group your HubSpot data in collections for quick and easy reporting.
Marketing Reports—On
Give access to marketing reports, including traffic analytics, page performance, competitors, tracking URL builder, events, and reports settings.ON
